Create New Items via Email

Projecturf's email integration engine allows you to create new items via email. Using a unique email address for each project, you can add new conversations, notes, tasks, and files. 

Before you start:
  1. Each project has it's own unique email address. To find that unique email, go to the Project's Overview page and click on the Details tab.
  2. Under Project Email Address you will find the unique email that you can use to send items to that project from your local email client, such as Apple Mail or Microsoft Outlook.Add items via email

Create a new task via email:
  1. Use the project email address in the To, CC, or BCC field. 
  2. For the subject, use "task" or "tasks" (no parentheses).
  3. Type your new task into the body of your email. To create multiple tasks, use your "return" key to go to a new line. Each new line will be considered a new task. 
  4. To include a file(s), attach them to the email. If there are multiple tasks, the attachments will automatically be added to the first task that is listed in the email body. 
  5. Remember to remove your email signature so that it is not included as a new task. 
Create a new conversation via email:
  1. Use the project email address in the To, CC, or BCC field.
  2. For the subject, use "conversation:" or "conversations:" (no parentheses) and add the subject of your conversation after the colon in the subject line of the email.
  3. Type your new conversation message into the body of the email. You can use bold, italics, underline, bullets, and numbered lists in the formatting. 
  4. To include a file(s), attach them to the email.
  5. Remember to remove your email signature if you do not want to include it in the new conversation. 
  6. An email notification will be sent out to everyone who is on the project. See the note below for further information.
Create a new note via email:
  1. Use the project email address in the To, CC, or BCC field.
  2. For the subject, use "note:" or "notes:" (no parentheses) and add the title of your note after the colon in the subject line of the email.
  3. Type your new note into the body of the email. You can use bold, italics, underline, bullets, and numbered lists in the formatting.
  4. To include a file(s), attach them to the email.
  5. Remember to remove your email signature if you do not want to include it in the new note. 
Add new file(s) via email:
  1. Use the project email address in the To, CC, or BCC field.
  2. For the subject, use "file" or "files" (no parentheses).
  3. Attach accepted file types to the email.
  4. To add comments to the file, use the body of the email. If you are including multiple files, the comment will be automatically attached to the first file in Projecturf.
  5. Remember to remove your email signature so that it is not included. 


Note
: email notifications are sent only for new conversations that are created via email. Notifications are sent to everyone on the project, including the author in most cases. However, if the author has  Receive emails for items I create turned off in Personal Options, then the author will not receive an email notification.Notification options
